Procedure for Invigilators

A.   Collection of test materials (Main Invigilator)

Collect CD player + test pack from Test Unit Room, 8.30 – 9 a.m.

 It should contain:

· 25 each –question papers / objective answer sheets / writing Qs+ answer sheets

· 2 marking keys

· writing criteria

· list of candidates

· mark sheet

·  CD recording of listening

Ensure you have: a watch, a board marker, and a stapler 

B.  Preparation of room (2nd Invigilator)

1.      Check there are 25 seats (5 rows of 5) spaced as widely as possible

2.      As students arrive – check names and ID against list of candidates for room.  Note absentees

 

C. Invigilation of exam

Maintain silence and strict exam conditions throughout

1.      Before starting exam, inform students:

¨      Time allowed  = 2 hours

¨      Exam has 4 parts –   (objective) i.e. reading, grammar, listening 1 ½ hours – use first answer sheet (this will be collected before they start the writing) and writing ½ hour – use writing answer sheet

¨      Write Name, SQU ID #, and college on question paper and both answer sheets

¨      All answers must be recorded on answer sheets (they can write on Q papers but they won’t be marked)

 2.      Give out objective Q papers and answer sheets. Do not allow students to start.  Monitor correct entry of names/ numbers

3.      Write start time / finish time for objective section (1 ½ hours) on board and start test

4.      Monitor and ensure students enter answers on answer sheets

5.      Give time warning 15, and then 5 minutes before end of reading and grammar.

6.      After 1 hour, start listening test – (all pauses and repeat readings are recorded on CD)

7.      On completion of listening, inform students they have the remainder of the 1 ½ hours to complete the grammar and reading.

8.      After 1 ½ hours, tell students to stop – collect and count Q papers and answer sheets

 

(Main Invigilator to 1st mark objective paper and pass to 2nd Invigilator.  Also to put CD recording and Q papers in candidate order in large envelope, and return to Test Unit with CD player)

 

9.      (2nd Invigilator) -Give out writing Q and answer sheets.  Ensure they write name  /ID # / college on answer sheets

10. Inform students they have 30 minutes – write up start and finish times and give ten minute warning before the end

11. After 30 minutes, end test, collect and count writing answer sheet and Q papers before students are allowed to leave. Students must not take any test materials from room.

 

D. Marking

12. 2nd Invigilator to pass writing answer sheets to writing marker in designated marking room.  2nd mark objective test, fill in the marks and put answer sheets in candidate order in small envelope.  Finally, pass to Writing Marker.

 

13. Writing Marker – 1st Mark assigned pack, write mark on objective Answer sheet, double mark second pack and write mark on Writing Answer Sheet, in case of discrepancy agree with 1st  W. marker, Write Agreed Mark on Objective Answer sheet, Pass to Checkers

 

14. Checkers – collate marks for both Objective and Writing Tests and write final Mark on Mark sheets, pass Marks sheets and Answer sheets to TU
